**This position is located on-site in Cranbury,  NJ**

Responsibilities

The Project Manager, Oncology Specialty Group is responsible for oversight of a wide variety of client-driven projects relating to live meetings and events. Additional responsibilities would include print production management, client deliverables, and project billing/budget management. The position requires a strong background in project management with some knowledge/experience in meeting planning/conference management, detail-oriented, dependable, computer literate, and ability to meet deadlines.

 

STATE OF SCIENCE SUMMITS

  • Lead core team and meetings
  • Maintaining overall tracking spreadsheet
  • Management of OncLive booth at all associated meetings
  • Staffing assignments across all key functions
  • Client deliverables (on-site) and content alignment with editorial and scientific affairs
  • Identify trends and implement solutions/improvements
  • Ensure proper survey management through in-house resources
  • Total budget accountability
  • Faculty management - liaise with Live Events department as needed. 
  • Overall branding and inventory management
  • Trafficking between key departments/stakeholders

 ANCILLARY PROJECTS/MEETINGS

  • Client deliverables (on-site) and content alignment with editorial and scientific affairs
  • Trafficking between key departments/stakeholders
  • Maintaining overall tracking spreadsheet
  • Develop and implement project management timeline at the onset of each unique project

PAYMENT AND BUDGETING (PER PROJECT)

  • Total budget tracking across all facets of each program including sub-projects.
  • Open billing requests as business in closed. Ensure proper PO alignment.

 PRINTED MATERIALS

  • Gather pertinent information and work with editorial and creative services on the development materials
  • Initiate internal review process of materials and facilitate necessary content, creative and digital revisions.
  • Coordinate internal proof-reading between relevant departments.
  • Work with sales to facilitate sponsor review and approval (include sponsor medical, legal and regulatory review, if appropriate).
  • Ensure a corporate branding plan is generated by creative and approved by corporate management.
  • Manage production process to ensure timeline production of onsite materials and corporate branding materials.
  • Save final electronic copies of program materials in projects folder.

 POST-PROGRAM

  • Schedule and facilitate a post-program debrief within 1 week of live event with all onsite company representatives to obtain feedback for continuous quality improvement.
  • For all live events where a program evaluation is provided to attendees, prepare a program evaluations summary document within 5 business days of the live event, circulate for internal review/approval, and work with sales for non-franchise sponsored live events to submit to sponsor.
  • Ensure Accounting is provided with final billing instructions.
  • Save a copy of the final actual cost budget reconciliation in the project folder on the company server.

 IN-HOUSE/MISCELLANEOUS DUTIES

  • Attend meetings, educational sessions, training sessions etc.
  • Attend departmental meetings.
  • Maintain status slides for all assigned live event projects for weekly reporting during weekly departmental status meeting.
  • Assist in maintaining up-to-date procedures; provide feedback on improving methods.
  • Keep records of nature and time spent on various tasks.
  • Complete weekly summary reports and advance focus areas as required.

Qualifications

Qualifications:

  • Proven success in total project management across a variety of projects
  • Organized, creative, and efficient
  • Experience leading a multi-faceted team of strong-willed individuals
  • Strong customer service orientation and ability to act diplomatically
  • Excellent oral and written communication skills
  • Clear understanding of budgeting process
  • Proven ability to work under deadline pressure, both independently and as part of a team
  • Strict attention to detail
  • Excellent problem-solving skills
  • Preferred knowledge of a variety of live event programs including multi-day conferences, symposia, key opinion leader advisory boards
  • Ability to travel/work during the week and on weekends (up to 10%)
  • Proficient with Microsoft Word, PowerPoint, Excel and Outlook
  • Minimum education: Bachelor's Degree and 3-5 years proven experience in project management
