Responsibilities

The Meeting Planner, Live Events will facilitate the planning, implementation and evaluation of successful execution of assigned live event projects. ("Successful" is defined as: within budget and on time, to the satisfaction of sponsors, faculty and participants, enhancing and supporting the company image).

Qualifications

  1. Total oversight for all facets of assigned meetings. Responsibilities will include faculty management, all meeting logistics, oversee creation of digital and print materials specific to the meeting, budget creation/reconciliation and complete oversight of all meeting components including but not limited to on time program agenda and marketing execution.
  2. Oversee administration for post-event enduring meeting activities for all PER meetings including, but not limited to: IME, HEM, MBC, MLC, IPC, SGO, IBC, ILC, SBO, NYL, CFS, IO
  3. Program implementation for all PER online CSAC/CPC/CV programs.  Responsibilities include:  setup of project folder and timeline, stakeholder kick off, adhering to agreed upon timelines, faculty management, on time launch of activity.
  4. Ensure a detailed schedule of all essential activities and deadlines are maintained following assignment meeting.
  5. Work with and supervise contracted vendors in conjunction with Project Managers and Project Coordinator to optimize the execution of their services.
  6. Liaise with internal team and business development staff for smooth transition of contacts/agreements/expectations with supporters.
  7. Onsite management of all phases of assigned live meetings and events.
  8. Additional projects and activities as assigned.

IN-HOUSE/MISCELLANEOUS DUTIES

  1. Attend departmental/company meetings
  2. Attend site visits as needed

Qualifications:

  • Ability to anage a variety of live event programs including multi-day conferences, symposia, large high-profile receptions, key opinion leader advisory boards
  • Organized, creative, and efficient
  • Strong customer service orientation and ability to act diplomatically
  • Excellent oral and written communication skills
  • Clear understanding of budgeting process
  • Proven ability to work under deadline pressure, both independently and as part of a team
  • Strict attention to detail
  • Excellent problem solving skills
  • Ability to travel/work during the week and on weekends (up to 20%)
  • Proficient with Microsoft Word, PowerPoint, Excel and Outlook
  • Minimum education: Baches Degree.
  • International Experience a plus
