  • Responsibilities

    Position Scope and Responsibilities


    • Assist the Vice Chairman with daily schedules, including calendar management, written correspondence, agenda development, meeting/program planning, etc.
    • Extensive travel management for Vice Chairman
    • Copying, faxing, filing, daily correspondence
    • Create and/or update contracts/documents/reports/presentations using MS Office applications
    • Manage monthly ambassador mailings
    • Distribute weekly e-newsletter to pre-determined recipient list on behalf of Vice-Chairman; maintain recipient list
    • Transcribe and distribute notes for any meeting the Vice Chairman attends, or as assigned by Vice Chairman
    • Monthly corporate credit card reconciliation
    • Manage expense reports, and contribute to special projects
    • Speak/write articulately to and with designated key opinion leaders (or their staff) in support of Vice Chairman’s activities
    • Act as liaison for Vice Chairman to both internal associates and external contacts
    • Maintain the internal on-site visitor protocol for the office of the Vice Chairman, as well as serve as the director for tour/visit management. This will include offering guidance to internal colleagues on process for initiation to completion, as needed
    • Serve as co-administrator for GoToMeeting corporate account; familiarity with GTM
    • Act as manager for company-wide chairman surveys for designated live educational events owned and operated by any MJH franchise: creation, deployment, response, and data analysis
    • Learn and be able to execute technical needs (audio/visual/other) for any internal meetings



    • Minimum of BA/BS
    • 3-5 years’ administrative experience
    • Experience working with complex multiple calendar management and scheduling
    • Proactive mindset with strong deadline orientation
    • Excellent verbal skills yielding effective conveyance of information
    • Excellent written communication skills including rules of composition and grammar
    • Exceptional organization skills, ability to multitask and prioritize work activity based on need, attention to detail, initiative, and follow-through skills.
    • Ability to learn difficult concepts quickly while offering creative solutions
    • Excellent computer skills including MS Word, Excel, PowerPoint, and Outlook
