  • Responsibilities

    The Project Coordinator will effectively support the MJH Promotional Project Team by collaborating on the delivery of project elements and general operations reporting. The successful candidate will develop an understanding of the production of MJH Promotional and Corporate programs and project management systems while helping to create and continually improve Standard Operating Procedures.  This role is responsible for the completing all associated billing requests with all projects and opening all new projects in the appropriate system. 

    Qualifications

    Responsibilities:

    • Open all new projects in appropriate software/systems/methods and notify appropriate parties as required
    • Assign project codes using existing naming convention for all new projects/LOA/SOW
    • Create billing requests for all projects and ensure billing timelines are created and adhered to
    • Project coordination as directed (internal and external scheduling, KOL correspondence, honoraria requests, travel arrangements, routing and drafting internal reports)
    • Track timelines to ensure that all deadlines are maintained using project management software and online trackers
    • Assist with keeping timelines, KOL paperwork, and financial information current and accessible
    • Processing and tracking of approved invoices
    • Proactively report any obstacles to the PM and assist with problem solving
    • Assist PM with KOL management and associated duties during program development
    • Assist with submission and tracking of client-specific MLR processes
    • Management of simple projects as assigned using establish systems, processes, and methods
    • Participate in daily and weekly meetings discussing project status
    • Work creatively with other resources within MJH to capitalize on existing talent and knowledge
    • Attend meetings, educational sessions, training sessions etc.
    • Attend departmental meetings
    • Assist in maintaining up-to-date procedures; provide feedback on improving methods

     

    Required Qualifications:

    • Excellent interpersonal, phone, and communications skills, both oral and written
    • Ability to adapt and thrive in a changing fast-paced environment
    • Cross-functional teaming skills
    • Ability to act diplomatically
    • Excellent problem solving and organizational skills
    • Strong multitasking and time management skills with a proven ability to work under pressure, meet multiple tight deadlines and work according to demand
    • Good working knowledge of Microsoft programs (including Word, Excel, PowerPoint, and Outlook)
    • College degree preferred or associated experience
